**The short answer:** Yes, an AppuBot bot can work in your Gmail once you connect it on the Apps page. It can be set up to search your mail, summarise long threads, draft replies and sort what needs you. With "Approve for me" it asks before it sends or changes anything. Reading and searching do not need approval.

## What can a bot do in Gmail?

Email is mostly reading, sorting and answering the same questions again. A bot connected to your Gmail can take the first pass at all three, in your own account, while you decide what actually goes out.

- **Find things.** Search by sender, subject, date or topic and bring back the one message with the invoice, the flight or the address you half remember.
- **Summarise threads.** Read a forty-message thread and tell you where it ended up, who owes whom a reply and what was decided.
- **Draft replies.** Write a reply in your tone for you to look at. It can be set up to leave drafts rather than send.
- **Triage the inbox.** List what needs an answer today, what is only informational and what looks like noise.
- **Label and archive.** Apply labels or archive newsletters and receipts once you have said which ones.
- **Pull out details.** Collect dates, order numbers or amounts from a batch of messages into a table.

## What can you ask a bot to do in Gmail?

These are the kinds of requests that work well. Type them in the app, or send them from your phone on Telegram.

- "What came in overnight that needs a reply from me today?"
- "Find the email from the landlord about the lease and summarise it."
- "Draft a polite reply to Priya saying I can do Thursday, and leave it as a draft."
- "List every receipt from last month with the amount and the sender."
- "Which threads have been waiting on me for more than three days?"

## How do you connect Gmail to AppuBot?

1. Open AppuBot on your computer.
2. Click **Connect apps** in the sidebar to open the Apps page.
3. Sign in once in your browser. This links AppuBot to your own account for connected apps, and you only do it the first time.
4. Find Gmail on the page and connect it. Your browser opens Gmail's own sign-in and consent screen, and you approve it there.
5. Switch Gmail on for the bots that may use it. Each bot has its own switch, so a bot you did not choose never touches it.

_The same Apps page lists about 1,700 other apps. Connecting one app once makes it available to every bot you allow._

## Will it ask before it changes things in Gmail?

Sending a message, replying, deleting, archiving or changing labels all change your mailbox, so on "Approve for me" the bot shows you what it is about to do and waits. Searching and opening messages to read them does not need a question.

This follows the bot's permission choice. On "Approve for me" the bot asks before it acts in your account, and it waits as long as you take. Reads and searches go ahead without a question. On "Full access" it acts without asking, so keep that for bots you trust with the app. More in [Approvals](https://appubot.com/features/approvals).

## What should you know before relying on a bot in Gmail?

A bot works through your own Gmail account, so it can do what that account can do and nothing more. If a task fails, it tells you why in the chat instead of guessing.

Be specific about which project, folder, list or account you mean when you have several, and say once what the bot should never touch. You can save that in its [memory](https://appubot.com/features/memory) so it applies to every chat. AppuBot is free during early access and needs no AppuBot account, and you keep using the AI plan you already have.

## Which routines suit Gmail?

A [routine](https://appubot.com/features/routines) runs a prompt on a schedule, so the bot can look at your inbox without you asking.

- **Morning digest.** Weekdays at 8, a short list of what needs you, sent to you on Telegram.
- **Friday follow-ups.** List sent messages that never got an answer so you can nudge them.
- **Receipt sweep.** Monthly, gather receipts into one list for whoever does your books.

## Gmail with computer use and Telegram

Gmail connected as an app is the fast path for reading and drafting. If you want the bot to do something only the Gmail screen offers, such as changing a setting, [computer use](https://appubot.com/features/computer-use) lets it open Gmail in your browser or mail app and click through it the way you would.

With [Telegram](https://appubot.com/features/telegram) you can forward a worrying email to your bot from the train and ask "what is this, and what should I say?", then approve the reply it drafts with a tap.

## Is it private to use Gmail with a bot?

The connection is to your own Gmail account, not to a shared mailbox, and the bot only sees what your account lets it see. The mail it reads is passed to its AI provider (Anthropic, OpenAI or whichever agent the bot uses) the way it would be if you pasted it into that AI yourself. AppuBot keeps no copy on its own servers.

Turn the app off for a bot at any time from its switch on the Apps page, and the bot loses access at once. You can also disconnect the app completely. See [connected apps](https://appubot.com/features/connected-apps) for how connections work.

## Questions

### Can a bot send email from my Gmail without asking me?

Only if you let it. On "Approve for me" it asks before sending, and on "Full access" it does not, so choose the permission per bot. Many people keep bots on drafts only.

### Can it read my whole mailbox?

It can search and open messages in the account you connected, but it works on what you ask about. It does not copy your mailbox anywhere.

### Does it work with Google Workspace accounts?

You sign in with the Google account you choose in the browser. Whether a work account is allowed depends on what your organisation permits for connecting apps, so check with your admin if the sign-in is blocked.

### What if I use Outlook as well?

Connect both. The [Outlook page](https://appubot.com/apps/outlook) covers it, and one bot can use both apps when you switch them on for it.
