Calendly AI agent: let a bot manage your bookings

List upcoming meetings, check event types and prepare you for each call.

By Sarthak Gupta · Updated

The short answer

An AppuBot bot connected to Calendly can list your upcoming meetings, look at your event types and prepare you for each call. With "Approve for me" it asks before it changes anything. Looking up meetings does not need approval. Pair it with Google Calendar for the full picture.

What can a bot do in Calendly?

When people book through Calendly, meetings show up without you planning them. A bot can tell you who is coming, why and what to know before you join.

  • List bookings. Show who booked what for this week, with times.
  • Prepare for calls. Gather the booker's answers, past emails and notes into a short brief.
  • Check event types. Remind you which of your event types are active and how long each is.
  • Follow up. Draft a thank-you or a next-step message after a call.
  • Spot no-shows. List meetings that did not happen and draft a nudge.
  • Log meetings. Add each booking to your CRM or a sheet.

What can you ask a bot to do in Calendly?

These are the kinds of requests that work well. Type them in the app, or send them from your phone on Telegram.

  • "Who is booked with me tomorrow and what for?"
  • "Prepare me for my 2 pm discovery call."
  • "List this week's no-shows."
  • "Draft a follow-up for yesterday's demo with Marta."
  • "Log this week's bookings in the Leads sheet."

How do you connect Calendly to AppuBot?

  1. Open AppuBot on your computer.
  2. Click Connect apps in the sidebar to open the Apps page.
  3. Sign in once in your browser. This links AppuBot to your own account for connected apps, and you only do it the first time.
  4. Find Calendly on the page and connect it. Your browser opens Calendly's own sign-in and consent screen, and you approve it there.
  5. Switch Calendly on for the bots that may use it. Each bot has its own switch, so a bot you did not choose never touches it.

The same Apps page lists about 1,700 other apps. Connecting one app once makes it available to every bot you allow.

Will it ask before it changes things in Calendly?

Changing event types or cancelling bookings affects the people who booked, so on "Approve for me" the bot asks first. Listing bookings and event types goes ahead.

This follows the bot's permission choice. On "Approve for me" the bot asks before it acts in your account, and it waits as long as you take. Reads and searches go ahead without a question. On "Full access" it acts without asking, so keep that for bots you trust with the app. More in Approvals.

What should you know before relying on a bot in Calendly?

A bot works through your own Calendly account, so it can do what that account can do and nothing more. If a task fails, it tells you why in the chat instead of guessing.

Be specific about which project, folder, list or account you mean when you have several, and say once what the bot should never touch. You can save that in its memory so it applies to every chat. AppuBot is free during early access and needs no AppuBot account, and you keep using the AI plan you already have.

Which routines suit Calendly?

Bookings arrive on their own, so a routine can keep you ready.

  • Morning prep. Each morning, a short brief on today's bookings.
  • Post-call follow-up. End of day, draft follow-ups for the day's calls.
  • Weekly booking log. Fridays, add the week's bookings to your sheet.

Calendly with computer use and Telegram

The connection reads bookings. For changing availability or branding, which sit in Calendly's screens, computer use lets the bot click through the site in your browser. Combine it with Google Calendar to see every meeting together.

On Telegram you can message "who am I meeting this afternoon?" and receive a brief for each call, ready before you walk in.

Is it private to use Calendly with a bot?

It uses your own Calendly account and sees the bookings it has access to, which include names and answers from your bookers. What it reads goes to its AI provider to prepare the brief. Turn Calendly off for a bot at any time.

Turn the app off for a bot at any time from its switch on the Apps page, and the bot loses access at once. You can also disconnect the app completely. See connected apps for how connections work.

Questions

Can a bot book meetings for me?

It can look at your event types and propose times. Whether it books directly depends on what Calendly allows, and "Approve for me" asks before it does.

Can it cancel meetings?

Cancelling affects the booker, so it asks first on "Approve for me".

Does it see bookers' answers?

It can read what Calendly shows your account about each booking, to prepare you for the call.

How does it fit with Google Calendar?

Calendly bookings appear on your calendar. See the [Google Calendar page](/apps/google-calendar).
