Google Drive AI agent: let a bot find and organise your files

Search, read, upload and sort files in your Drive, asking before changes.

The short answer

An AppuBot bot connected to Google Drive can search your files, read documents to answer questions, upload what you send it and file things into folders. With "Approve for me" it asks before moving, renaming, deleting or sharing. Searching and reading do not need approval.

What can a bot do in Google Drive?

Drive tends to hold years of files named things like "final_v3". A bot can find the right one, tell you what is in it and keep new files where they belong.

  • Find the file. Search by name, owner, type or what the document is about, then give you the link.
  • Read and answer. Open a document or PDF and pull out the clause, figure or date you asked about.
  • Upload files. Save a file you drop in the chat, or one it just made, into the folder you name.
  • Organise. Sort a messy folder into sub-folders by project, client or month, once you agree the scheme.
  • Tidy names. Rename files to a consistent pattern, such as date first.
  • Report on a folder. List what is in a folder, who owns it and what has not changed in a year.

What can you ask a bot to do in Google Drive?

These are the kinds of requests that work well. Type them in the app, or send them from your phone on Telegram.

  • "Find the signed contract with Northwind and tell me the notice period."
  • "Put this PDF in the Clients/Acme folder."
  • "List files in Shared/Marketing that nobody has opened this year."
  • "Rename everything in Receipts to start with the date."
  • "Which presentations did I edit last week?"

How do you connect Google Drive to AppuBot?

  1. Open AppuBot on your computer.
  2. Click Connect apps in the sidebar to open the Apps page.
  3. Sign in once in your browser. This links AppuBot to your own account for connected apps, and you only do it the first time.
  4. Find Google Drive on the page and connect it. Your browser opens Google Drive's own sign-in and consent screen, and you approve it there.
  5. Switch Google Drive on for the bots that may use it. Each bot has its own switch, so a bot you did not choose never touches it.

The same Apps page lists about 1,700 other apps. Connecting one app once makes it available to every bot you allow.

Will it ask before it changes things in Google Drive?

Uploading, moving, renaming, deleting and above all changing who can see a file affect your account and other people, so on "Approve for me" the bot asks first. Searching and opening files to read them goes ahead.

This follows the bot's permission choice. On "Approve for me" the bot asks before it acts in your account, and it waits as long as you take. Reads and searches go ahead without a question. On "Full access" it acts without asking, so keep that for bots you trust with the app. More in Approvals.

What should you know before relying on a bot in Google Drive?

A bot works through your own Google Drive account, so it can do what that account can do and nothing more. If a task fails, it tells you why in the chat instead of guessing.

Be specific about which project, folder, list or account you mean when you have several, and say once what the bot should never touch. You can save that in its memory so it applies to every chat. AppuBot is free during early access and needs no AppuBot account, and you keep using the AI plan you already have.

Which routines suit Google Drive?

Files accumulate on their own, so a routine can keep order without you thinking about it.

  • Weekly sort. Fridays, move new files from the Inbox folder into the right project folders and report what it did.
  • Stale-file report. Monthly, list large files nobody has opened for a year.
  • Receipts to books. On the first of the month, collect last month's receipts into one folder for your accountant.

Google Drive with computer use and Telegram

The connection works with your Drive in the cloud. If a file lives on your computer, a bot can reach it directly through files and computer use lets it open the Drive desktop app or the browser when something needs the screen.

On Telegram you can send a photo or a PDF to your bot and say "file this under Taxes 2026". It saves it to Drive and replies with the link.

Is it private to use Google Drive with a bot?

The bot uses your own Google account and can only open files that account can open. When it reads a document to answer you, the text goes to its AI provider, as it would if you pasted it in yourself. Keep a folder out of reach by asking for it not to be used, or turn Drive off for that bot.

Turn the app off for a bot at any time from its switch on the Apps page, and the bot loses access at once. You can also disconnect the app completely. See connected apps for how connections work.

Questions

Can a bot share a file with someone?

It can be set up to, but sharing changes who can see your file, so on "Approve for me" you see the request and approve it each time.

Can it read PDFs and scanned documents?

It can read text it can open. Scanned pages with no text are harder, and quality depends on the AI the bot uses.

Does it delete files?

Only if you ask, and on "Approve for me" it asks first. Many people tell the bot never to delete.

Does it work with Dropbox too?

Yes, connect both. See the [Dropbox page](/apps/dropbox).
