What can a bot do in Xero?
Xero is built for small businesses that do their own books. A bot can take the typing and the chasing so you keep the judgement.
- Look up invoices. Find an invoice and its status, or a contact's outstanding balance.
- Chase payments. List overdue invoices and draft a polite reminder.
- Draft invoices and bills. Prepare one from a message, a quote or a photo for you to approve.
- Reconcile help. List bank transactions that look unmatched and suggest matches.
- Report. Summarise profit, spending and what customers owe for a period.
- Prepare for year end. Gather the items your accountant asks for.
What can you ask a bot to do in Xero?
These are the kinds of requests that work well. Type them in the app, or send them from your phone on Telegram.
- "Who owes me money and for how long?"
- "Draft an invoice to Harbor & Co for the three days of work I listed."
- "Show bills due this week."
- "Which bank transactions are still unreconciled?"
- "Summarise spending by category this quarter."
How do you connect Xero to AppuBot?
- Open AppuBot on your computer.
- Click Connect apps in the sidebar to open the Apps page.
- Sign in once in your browser. This links AppuBot to your own account for connected apps, and you only do it the first time.
- Find Xero on the page and connect it. Your browser opens Xero's own sign-in and consent screen, and you approve it there.
- Switch Xero on for the bots that may use it. Each bot has its own switch, so a bot you did not choose never touches it.
The same Apps page lists about 1,700 other apps. Connecting one app once makes it available to every bot you allow.
Will it ask before it changes things in Xero?
Creating invoices or bills, or changing records, affects your books and your customers, so on "Approve for me" the bot shows you the draft and waits. Looking things up goes ahead.
This follows the bot's permission choice. On "Approve for me" the bot asks before it acts in your account, and it waits as long as you take. Reads and searches go ahead without a question. On "Full access" it acts without asking, so keep that for bots you trust with the app. More in Approvals.
